It also applies to handwritten observations or remarks which are made in data
packages or worksheets.
2.0 Summary of Procedure:
The procedure is a general list of rules to be used for data reporting. This includes use of ink, white
out, significant figures and rounding. Proper noting of observations and remark ence
or reporting is also described.
3.0 Safety: N/A iffnillld k
coo : i
4.0 Equipment and Materials: cc: 1
Ink pen
'Ai s e Red Sumo ,w
,
5.0 Procedure:
5.1 The only writing instrument approved for documentation is an ink pen. It is pre r black
ink and resistant to smearing from water. Pencils are not acceptable.
5.2 The only acceptable method of correcting written mistakes is by writing one line through the error,
initialling the error and writing in the correct information. Do not scribble out the error and do not
use white out.
5.3 White out is not acceptable for use in the laboratory. In certain cases white out may be used in the
front office (for making drafts of marketing pamphlets etc.). It may not be used for altering or
changing any record or documentation.
5.4 Observations should be written on batch sheets, raw data or review sheets.
5.5 When recording information on the worksheets the date reported is the date completed and the initials
are of the analyst. For analyses that are worked on by several analysts the analyst which performed
the majority of the work should be the initials used. When training is being performed the initials for
both the trainer and trainee should be listed on the worksheet. The trainees initials should be the
initials for final reporting. The results are recorded according to the rules outlined in sections 5.5 and
5.6.
5.6 In general the lab uses one significant figure when reporting at the detection limit and two significant
figures when reporting at the next order of magnitude above the detection limit or ereater- In certain
cases DLRs and results may be reported with two significant figures at the detection limit. This is
usually for tests where the DLRs are calculated and clients need the resolution at the detection limit.
