Apparently, TEA 23 required that all inspection reports be fully electronic (meaning that <br />older inspection forms should not have been uploaded into WTMS). Below are instructions to correct this issue and a <br />list of affected inspection reports and corresponding TPIDs. Some of the bulleted items are already in practice or were <br />previously known. <br />• Only PDF versions of the online inspection reports are to distributed to the operator using the existing <br />WTMS email functionality (or using alternate means—snail mail --if no email address is available for the <br />operator) after the report is complete. <br />• Paper inspection report forms are out of date, were never updated to reflect changes made in the 2014 <br />rulemaking, and are not be used for official reporting or distributing inspection results to operators. <br />o This was clearly explained during the Spring 2016 roundtables as well as the June/July inspector <br />training webinar and following liaison training. <br />o Recycle existing stocks of the paper inspection forms. <br />• TEA 23 inspection reports that were completed on paper, given out to the Operator, and then uploaded <br />into WTMS need to be corrected and replaced by an electronic -only inspection report. Per CalRecycles' <br />managements request, please complete the following: <br />o Create & complete a new electronic inspection report for each affected TPID for the date they were <br />originally inspected. <br />■ The new reports shall, in the beginning of the comment field, cite the inspection report <br />number of the paper inspection report that it is replacing, and state clearly that the new <br />report is superseding the old paper report. Highlight this in red. <br />■ This is our standard procedure for correcting errors in reports already received by operators. <br />o Send the completed replacement report (in PDF format) to the facility electronically by email using <br />the existing WTMS email system (or snail mail if necessary with a cover letter). <br />■ Add to the e-mail generated by WTMS, or include in the cover letter mailed with a printout of <br />the PDF of the report, a statement that the paper inspection report previously given to the <br />operator is invalid and superseded by the attached electronic inspection report. <br />
