This becomes especially important when dealing with hazardous waste. I have
recently distributed, as some of you already know, a black file box containing yellow file folders and files to
each of the stores. (Some may still be en route to your locations) These file boxes will provide quick and
easy access to this required documentation. Please refer to the following for an explanation of what each
file tab should contain.
Inspections: Documentation of all completed inspections must be retained. (Insurance, federal, state and
local agencies, In-house, equipment inspections, etc.)
Manifest Procedure: Document stating any state and or local guidelines on the handling of waste and
hazardous waste materials.
Labeling: Used to keep a supply of any labels needed to identify waste and or hazardous waste products.
(These are available from your local environmental waste/hazardous waste pickup company.)
Training: Specific training is required for every employee at our dealership. Please document any and all
training and retain these documents in this file. If more space is required for this documentation please
use an alternate file. If this is necessary please keep a document indicating where these documents are
located. This will allow anyone quick and easy access to these documents.
Regulatory Information: This can be a wide array of "other" information, which is usually local and state
specific or based upon the special regulatory requirements of the facility. Documentation includes permits
(air compressor for example), UST information, reports and regulatory agency communications.
Miscellaneous: This section contains separate files for each type of waste/hazardous waste. Please place
the pickup manifest for each type of waste/hazardous waste in the proper tab. If you have any additional
waste/hazardous waste products specific to your store please add the additional file.
Air Conditioning: Equipment registration and technician certification should be kept in this file.
If you have any questions please do not hesitate to give me a call. Thank You all for your cooperation.
a
JOHN DEERE
