General Iatftsation about the Vault and Filing System <br />1. 't ot1t is the repository for a large number of valuable ftess. <br />2. ltsms are supposed to be removed only for the leojth of time needed <br />to sjltke a �Y, :,or to extract data. No one can `tay with certainty <br />this is a4vays. dons. <br />3. Amass is totally uncontrolled. Anyone can enter, exit, put`itens <br />in, take items out. <br />4. Inducing and filing method is simple -- basically by alpha name pf <br />the ' Road, Street, subdivision, tract, ' etc . 30 'prob3eins' occtr� however, <br />as for •xawople, items filed as "Road District X", when the search <br />argument is a Road namer and it has not been adequately cross- <br />referenced -on the index card. <br />5. 'There are too many "Specialised Indexes". it is difficult enough <br />to keep one up to date. There is expressed desire for an accurate <br />up to date index, and a singular index. <br />6. Engineerinq, through Bob Mullins and Carl Hewdstrom, feet the need <br />for incorporating location coordinates as part of identification and <br />indexing. (This was once included, and dropped). <br />7. Engineering, through Sukh C:hahal, fools that job number, as well as <br />location coordinates, is of value in the identification. <br />8. Some items have been "lost" from the vault. ^'f119 is evidently what <br />precipitated Surveyor handi"g their own documAnts, and Flood Control <br />removing all of their materials from the vault. <br />9. A misfiled document, or index Card, can create a great veal of wasted <br />time and effort. All filinq/refiling (other than Surveyor) should <br />be clone onj% by service center personnel. <br />C. General Inventory of Vault Storage Facilities and Stored Item <br />1. bile card isWkaxes to: <br />ftads (Surveyor*) alpha* <br />b. pbads, streets, traots, subdivision (awineering) alpha. <br />
