STATISTICAL INVENTORY RECONCILIATION ANALYSIS <br />Instructions for Completing Inventory Data Sheet <br />Please complete an Inventory Data Submission Form for each tank system submitted. Please make copies if <br />additional forms are needed. <br />How to Complete the Tank Inventory Form <br />Each day you must record what was removed (Sales) from the tank, what was added (Deliveries), what the stick <br />level was in inches (to the nearest 1/8th inch), and the stick conversion in gallons. The readings should cover <br />a 30 -day period. If the tank is not gauged on days the facility is closed, skip that day. For example, if the <br />facility is closed on weekends, it may take 40 calendar days to gather the 30 observations necessary for the <br />analysis. <br />Month/Day The month and day of the readings. <br />Opening Inventory The gallon amount to account for from previous day. <br />Sales The amount of gallons metered from the tank system. <br />Delivery The amount delivered into the tank in gross gallons from delivery receipts. <br />Stick Reading Inches The inch reading (to the nearest 1/8th inch). <br />Stick Reading Gallons Converted from inches measured. (Use Tank Conversion Chart) <br />Water Reading Indicate level of water in the tank (inches). <br />Amount to Account For Amount which should be in the tank (also called book) or yesterday's amount to <br />account for, plus today's deliveries, minus today's sales. Day 1 should be equal to <br />the stick reading in gallons. <br />Daily Variations The difference between today's stick reading, daily sales, deliveries, and yesterday's <br />stick reading. Also called daily variance, and is calculated by taking today's stick <br />reading plus sales minus deliveries minus yesterday's stick reading. Day 1 should <br />be equal to zero. <br />Cumulative Variance The sum of the over and shorts. The last cumulative indicates the book amount <br />lost or gained over a 30 day period. Day 1 should be equal to zero. <br />Manifold Tanks <br />If the tank system is a two tank manifold, gauge both tanks, convert each reading to gallons, combine the <br />gallons, and record the total in the stick reading gallons column. If there are more than two tanks manifolded, <br />contact WRA. <br />Insurance Requirements <br />The data should be recent and the tank should be at least 50% full, on average, during the period. <br />If this is the first month of data, please attach a copy of your conversion chart. <br />Please feel free to call WRA if you have any questions. <br />
