Reporting and Record-Keeping <br /> 8.1 Reporting <br /> When a UST is installed, the project engineer in Sprint's engineering department will contact <br /> Environmental Health and Safety. Environmental Health and Safety files an official notification and <br /> registration form with the state. This form certifies the correct installation of the UST. Federal <br /> regulations require the reporting of diesel fuel spills of 25 gallons or quantities that produce a visible <br /> sheen on nearby surface waters. All states must comply with this minimum requirement; however, <br /> more stringent rules may be applied if desired. <br /> Because the reportable standards vary from state to state, Environmental Health and Safety will <br /> determine the reporting requirements for the release of any amount of diesel fuel or oil, regardless of <br /> the amount and its containment. <br /> Note: Strict reporting requirements mandate that spills of reportable quantities be reported to the <br /> applicable agency within 24 hours. <br /> If site personnel detect a fuel leak of any quantity above or below ground, they immediately take the <br /> following reporting and corrective actions. <br /> 1. They stop further release, contain the spill, and mitigate safety hazards due to fire and explosion. <br /> Note: Use extreme caution; do not endanger yourself or other personnel! <br /> 2. Site personnel notify the Building Management Center, who will in tum contact Sprint's <br /> Environmental Health and Safety group. Environmental Health and Safety, in conjunction with the <br /> legal department, will ensure that all local, state and federal reporting requirements are met. See <br /> SNI'-000-803, Hazardous Materials Emergency Response Procedure, for specific reporting <br /> requirements. <br /> 3. Site personnel notify their immediate supervisor or local management personnel. <br /> As required, Environmental Health and Safety will provide additional reports which delineate follow- <br /> up actions taken to correct the damage caused by the UST. <br /> Thirty days before the permanent closing of a UST, personnel in Environmental Health and Safety will <br /> notify the local regulatory authority. Engineering Department personnel, under the guidance of <br /> Environmental Health and Safety, are also responsible for closing the UST. <br /> 8.2 Record-Keeping <br /> The Building Management Center and EH&S maintain records to prove that the facility meets local, <br /> state and federal requirements and make these records available to inspectors during their on-site visits. <br /> The BMC maintains these records for a site for a minimum of three years(unless otherwise indicated or <br /> required by local/state regulation) or as long as the UST is in operation. These documents are required <br /> to document the facility's recent compliance status in the following major areas. The field operations <br /> personnel may also retain copies of these records if they need a backup.
