Fieldwork Documentation Field Standard Operating Procedure <br /> SWE-FSOP-001;Revision 1 Ahtna Southwest Environmental Operations <br /> 1.0 Introduction <br /> 1.1 Purpose <br /> This SOP provides field personnel with the procedures for: <br /> • Recording real-time, chronological logs of field activities and circumstances in field <br /> logbooks/notepads, field forms, and digital/electronic media <br /> • Documenting fieldwork and fieldwork variances <br /> • Ensuring documentation is reviewed, organized, and safely stored until the project closed out <br /> Adequate documentation is necessary to describe the work performed and variances to work plans if any. <br /> Attention to detail is vital since field documentation protects our client and Ahtna with secure, legally <br /> defensible evidence and has been helpful in administrative, legal, and cost-recovery requirements. For <br /> example, field documentation may be used as evidence in legal proceedings to defend procedures and <br /> techniques employed during site investigations. Therefore, field documentation must be factual, <br /> complete, accurate, consistent, and not contain subjective language. These principles also apply when <br /> photographic or videography techniques document site activities. The goal of written, digital, and <br /> photographic/video graphics documentation is to represent field activities that accurately portray site <br /> conditions or procedures. <br /> 1.2 Scope <br /> The scope of this SOP includes data entry and format requirements for various field documentation. <br /> When required by the project, use the PFAS-free equipment, materials, and procedures recommended in <br /> this SOP which are indicated by [PFAS Project]. <br /> Written records <br /> • Field logbooks <br /> • Field notepads <br /> • Field forms <br /> Digital records <br /> • Audio <br /> • Photographic/video <br /> • Data loggers <br /> Digital data entry using field tablets is described in the EQuIS Collect User Guide. <br /> • Note: It is important to review contracts and Performance Work Statements to identify specific <br /> documentation and format requirements applicable to your project. <br /> • Note: Contracts may contain requirements for field records. The typical language states: "The <br /> Contractor shall maintain field records sufficiently to recreate all field activities. The information <br /> shall be recorded in a permanently bound notebook with sequentially numbered pages.At the end <br /> of each workday, the Contractor shall complete a daily log." <br /> Page 4 of 15 <br />
