The maintenance of the information repository looks good on the <br /> matrix, but many of the documents are not mentioned in the text <br /> on page 22 . In describing which materials will be deposited in <br /> the repository, the following list of materials and any others <br /> need to be added to the first paragraph. The information <br /> repository should include a copy of the community relations plan, <br /> RI findings, FS report, updates, newsreleases, direct mailers, <br /> fact sheets, etc. <br /> Activity 3 Follow-up to CRP Interviews: <br /> A briefing for agency and elected officials is good, but a <br /> separate briefing for local and state elected officials and local <br /> agency officials should be held prior to meeting with the <br /> communications network or the Boggs Tract Improvement District <br /> Board of Directors. Further, on-going communications with <br /> elected officials (e.g. , following significant findings, project <br /> milestones) should continue throughout the process. <br /> In the list of documents that will be included in the letter, a <br /> workshop is mentioned (page 24) . A workshop would be very <br /> helpful and appropriate. Please explain the purpose, audience, <br /> location, etc. <br /> Activity 4 Community Board Briefing: <br /> A fact sheet to give to participants would be helpful to have at <br /> the briefing. <br /> Activity 5 Communication Network: <br /> In establishing a communications network, representatives from <br /> the San Joaquin County Toxic Task Force, other state and local <br /> officials, and the Port of Stockton should also be considered and <br /> sought. DHS should also be a member of this group. Page 13 <br /> states that Patricia Sangster-Franklin, the property manager for <br /> the Port of Stockton, will "pass along any materials she feels <br /> are relevant to the ports tenants. " Because the tenants are <br /> considered contiguous property owners, McCormick & Baxter is <br /> required to communicate directly with them rather than through <br /> the port property manager, e.g. , direct mailer. <br /> The CRP draft states that the members of the network will be <br /> contacted by telephone with "updates on important site activity; <br /> and findings at significant project milestones. " Telephone calls <br /> to gauge community concerns at various project milestones are <br /> good, but not an effective way to keep the community informed. <br /> Not everyone that was interviewed will be represented on the <br /> communications network. The manner in which the network is <br /> proposed is to use it as a vehicle to keep the community <br /> informed. But that is McCormick & Baxter' s responsibility, not <br /> the network's. <br /> So that DHS will be properly informed of the networks concerns <br /> and the members are aware of each others concerns, meetings will <br /> -2- <br />
