• If more than one shipping container is required, the containers shall be numbered (i.e., 1
of 5, 2 of 5, etc.).
• Affix appropriate shipping label to shipping container(s) and cover label with clear,
waterproof shipping tape.
• The sampler shall transport shipping container(s) to shipper.
• The sampler shall retain original copy of all shipping manifests.
• As an alternative to overnight sample shipment, a laboratory-dedicated courier may be
utilized to transport the samples from the Site to the Laboratory, under COC as
described in Section 4.0 below.
4.0 DOCUMENTATION
4.1 Chain-of-Custody Record
The purpose of a Chain-of-Custody Record (COC) is to create an accurate written record which
can be used to trace the possession and handling of a sample from the moment of its collection
through analysis. In addition, other information, such as holding times from the field to the
laboratory, can be verified.
A COC shall be initiated and completed using the approved California Certified Laboratory's
COC during sample collection. Possession of every sample shall be recorded from the time of
collection until the analytical results are fully documented by the laboratory. The following steps
shall be followed in completing the COC:
• Use a blue or black ball point pen and press firmly (the form has three pages).
• Generally, the following should be recorded by the Site Coordinator in the spaces
designated on the COC:
o Project name and number
o Site name and address
o Sampler's name (signature and print), organization, and address
o Identification/field sample number (distinguish the number zero from the letter `O'
by drawing a slash through the number zero)
o Date and time of collection
o Sample type (used oil)
o Number of sample containers
o Laboratory Parameters (use a separate column for each analysis and check,
using an `X', samples corresponding to the specific parameter to be analyzed)
o Turn-around-time (TAT) (i.e., 24-hour, 5-working days, etc.)
• Identify and mark how many pages are including in the COC.
• In the event that a shipment includes more than one cooler, the cooler number shall be
included on the COC.
Used Oil Sampling and Analysis Plan 5 July 29, 2014
BNSF Railway Multiple Locations
TRC Project No. 211983
