Fieldwork Documentation Field Standard Operating Procedure <br /> SWE-FSOP-001;Revision 1 Ahtna Southwest Environmental Operations <br /> 3.0 Equipment List <br /> [PFAS Project]: Products containing waterproof features (e.g., Post-it-notes, waterproof coated paper) <br /> cannot be used on per-and polyfluoroalkyl substances (PFAS) projects. <br /> • Applicable field forms <br /> [PFAS Project]: Work activities will be maintained on loose paper(PFAS-free) secured on <br /> Masonite or aluminum clipboards. Plastic clipboards, binders, or spiral hard cover notebooks are <br /> not acceptable. <br /> • Bound, waterproof field logbook (FLB; e.g., Rite in the RainT"' or similar) with pre-numbered <br /> consecutive pages for field documentation or notepad <br /> [PFAS Project]: Use field logbook made of standard/loose plain paper(non-weatherproof), held <br /> together by an aluminum or Masonite field clipboard. Alternatively, a spiral-bound notebook <br /> with non-weatherproof paper and/or cover can be used. <br /> • Waterproof, indelible pens/markers in black or blue ink <br /> [PFAS Project]: Ball-point pens: do not use markers,felt pens, or pens with water resistant ink <br /> • Digital camera/video, cell phone, or other devices capable of digital imagery <br /> • Electronic device(s)for recording and storing field-related data (e.g., data loggers and GPS units) <br /> • Batteries and charging blocks <br /> 4.0 Procedures <br /> This section describes various mechanisms of recording documentation, including requirements and <br /> procedures. Before fieldwork,each project should define project instructions that identify the mechanism <br /> for documentation. The instruction is intended to promote procedural consistency, defined roles and <br /> responsibilities, and common language across project teams, promoting efficient reviews and cross-team <br /> utilization and training. Once established, project staff shall follow the project instruction. <br /> 4.1 Document Control and Storage <br /> 4.1.1 Project File <br /> While in the field,the fieldwork documentation project file is managed by the FTL and consists of: <br /> • Written records: FLB/notepads, field forms <br /> • Digital/electronic records: photos, videos, GPS records <br /> • Downloads from electronic devices such as data loggers <br /> The PL is responsible for providing the location and details for storage.All field documentation is a part of <br /> the project file and should be maintained with safe document handling and archiving procedures. <br /> Hardcopy documentation and digital files are official records of fieldwork. Scans of official records are <br /> helpful for ease of access to project information and generating reports but are not official records. <br /> Page 7 of 15 <br />
