El <br />17-1 <br />Purchasing Department. Appendix C (MSDS Request Sample Letter) is a <br />sample letter that will be mailed to vendors who do not send a MSDS in advance <br />of receipt of shipped hazardous products or promptly respond to verbal requests <br />for a MSDS. NOTE: Suppliers who fail to cooperate by not providing MSDS, or <br />who supply incomplete MSDS, will be identified. The Safety Team Leader will be <br />notified for disposition. <br />2) A master file and cross reference list of MSDS by product or trade name and <br />manufacturer will be developed and maintained by the Safety Team Leader. <br />MSDS binder, containing a copy of the master file and cross-reference list plus <br />copies of the MSDS, is in the Warehouse, located inside the door from dock to <br />warehouse on the south side of door. Clearly marked "Right to Know <br />information station". <br />The MSDS for the Fleet Maintenance shop will have the book located next to the <br />Safety Shower, adjacent to the parts area. The area is clearly marked with a <br />yellow background. <br />3) For training purposes, the Supervisor will maintain a copy of each MSDS for <br />hazardous chemicals used in their area. <br />4) The Safety Team Leader will make MSDS available to any outside medical <br />provider or public service agency that has a need for the information. <br />5) MSDS for materials that are obsolete (not used and no longer on the property) <br />will be maintained in a separate file for a minimum of 30 years. A note will be <br />made on the MSDS as to the department(s) it was used and date when it went <br />obsolete. <br />6) Hazard Determination Procedures: To properly determine the hazards of any <br />particular material, we will rely exclusively on the information supplied by the <br />manufacturer or distributor of the Material Safety Data Sheet. The Safety Team <br />Leader will refer MSDS that are incomplete or appear to be in error back to the <br />manufacturer or distributor for information or change. <br />7) Appendix D (MSDS Additional Information Request) is a sample letter that will be <br />mailed to vendors who do not provide an acceptable MSDS. <br />8) Appendix E (MSDS Request from Our Customers) is a sample letter that will be <br />mailed to our customers who request a MSDS for our products. <br />The Purchasing Department is responsible for ensuring that our suppliers and <br />comply with the MSDS and container labeling requirements. The Purchasing Group <br />will notify suppliers of the following: <br />1) Inform each supplier that we must have a current MSDS for each hazardous <br />product before it is released into inventory. This includes samples from the <br />supplier. <br />2) Provide the MSDS to the Safety Team Leader who in turn will update the master <br />list of hazardous materials and insert a copy of the MSDS in all MSDS Booklets. <br />3) Inform each supplier that the container for each hazardous material must have <br />an appropriate label that is prominently displayed and written in English. <br />
