M. - <br />=6- <br />r; <br />11 v <br />Document Number: 909 R 5003 <br />Rev: 12 Date: 1/22/13 <br />EMERGENCY RESPONSE PROCEDURES <br />It is important to immediately notify Group Legal and Senior Management when <br />competition authorities make contact with any Group site. Country Managers <br />coordinating with Group Legal should ensure that a current Contact List is <br />communicated and made available at all sites. This contact list should identify: <br />1) Senior manager(s) <br />2) Group legal contact <br />3) External counsel (optional) <br />4) Group competition compliance officer (cell number) <br />Procedural instructions and the local contact list should be readily available at all <br />times to those that are likely to receive the first contact from competition regulators. <br />The contact list should be reviewed frequently to ensure that it kept up to date. <br />Below are the basic steps that should be followed when competition authorities make <br />telephone contact, written inquiries and on-site unannounced visit. <br />1. Instructions for Telephone Personnel, Receptionists, Doorkeepers and <br />Gatekeepers <br />1.1 Telephone Inquires <br />In the event that a competition regulator makes contact by telephone and asks <br />questions, you should take the following steps: <br />1.1.1 Don't Answer Questions. Politely advise the caller that you are not in a <br />position to deal with such matters. <br />1.1.2 Refer the Caller to the Legal Department. Transfer the call to the legal <br />department. <br />1.1.3 Take Contact Details and Advise the Legal Department. If you cannot <br />transfer the call to the legal department, you should take the caller's name and <br />number, tell him that the call will be returned, and advise the legal department of the <br />H:\profile\My Documents\500 E.
