If the caller prefers, invite him to put his questions in writing and <br />fax them to you. <br />1.2 Written Inquiries <br />In the event that the inquiry is received in writing, deliver or fax the inquiry to the legal <br />department immediately. <br />1.3 On -the -Spot Investigations — Dawn Raids, Search Warrants <br />1.3.1 Check the Identity Cards of the Inspectors. Investigators will each have an <br />individual identity card which must be verified against their authorization. If the <br />investigators do not reveal themselves as such but it is believed they are conducting <br />a raid, go to step 1.3.3 <br />1.3.2 Ask for Authorization Documents. In certain jurisdictions, investigators must <br />have an authorization that serves as the basis for the on -the -spot investigation. In <br />the U.S. it is called a `Search Warrant'. Ask permission to make a copy of the <br />authorization document. <br />1.3.3 Call the Lawyers and Senior Management. Immediately call the appropriate <br />Group Legal contact and the senior manager. Inform them that a possible `dawn raid' <br />is taking place on site. If you can be overheard by the visitors, use a predetermined <br />code word for your location. If no one is available, then contact the external lawyers <br />identified for this purpose. <br />1.3.4 Show the Investigators to an Area that Does Not Contain Any Files or <br />Documentation. Remain polite at all times. Ask the investigator to wait until either <br />an in-house lawyer or outside lawyer can be present and make sure that they do not <br />wander off. Do not issue security passes to investigators, they must be escorted. <br />1.3.5 Wait for Lawyers and/or Senior Management to Arrive. Do not answer any <br />questions or provide any documents until the lawyers and/or senior managers have <br />arrived. <br />2.
