11 <br />Document Number: 909 R 5003 <br />Rev: 12 Date: 1/22/13 <br />2.1.1 Ask for Questions to be Put in Writing. Do not respond to any questions by <br />telephone. Politely request that the questions are faxed through in writing. If you are <br />not in-house counsel, forward to the appropriate Group Legal contact. <br />2.1.2 Otherwise, Document the Questions. If the faxing the questions is refused, <br />take a note of the questions and agree to provide answers by return telephone call. <br />Immediately contact the appropriate Group Legal contact. <br />2.2 Written Inquiries In the event the inquiry is received in writing, deliver or fax the <br />inquiry to the appropriate Group Legal contact immediately. <br />2.3 On -the -Spot Investigations — Dawn Raids, Search Warrants <br />2.3.1 Check the Identify Cards of the Inspectors. Investigators will each have an <br />individual identity card which must be verified against their authorization. <br />2.3.2 Ask for the Authorization. In the U.S. it is the search warrant, signed by the <br />judge and describing the places to be searched and items to be seized. In other <br />countries, it may be some other official document providing the authority for such <br />action. Check the scope of the authorization. In particular, note the subject matter of <br />the investigation and any limitations in terms of the permitted search. If possible, <br />make a copy of the authorization and/or fax it to the legal department. <br />2.3.3 Ask the Investigators to explain the background of the action. Why they <br />are there, what they are looking for. It is very important to listen. <br />2.3.4 Call the Lawyers. It is vitally important to have a lawyer on the spot to give <br />legal advice during the investigation. In certain countries, you have the right to have <br />a lawyer with you. Contact the appropriate Group Legal contact and external lawyers. <br />Do not leave a message. Ensure that contact is made with in-house Group Legal and <br />external lawyers. <br />2.3.5 Keep Communications Under Control.
