Staff should allow ample time for <br /> review from their supervisor and the Enforcement Division Chief <br /> prior to this due date. <br /> 4. The final agenda item with all corrections is due one <br /> day after the draft agenda it— is due. Seven copies must be <br /> submitted with all attachments. <br /> (The branch secretaries are responsible for finalizing all <br /> division agenda items. . An inspector should always allocate <br /> sufficient time for the secretary to finalize the item prior to <br /> the due date. ] <br /> Staff must include each of the following sections in the <br /> agenda item: <br /> 1. The item title must concisely and objectively state the <br /> purpose of the item. The title appearing on the agenda item must <br /> be identical to that appearing on the Board Meeting Notice. <br /> 2. The key issues section must include bullet statements <br /> which summarize background information and the issues at hand. <br /> Because this section is intended to briefly summarize, no more <br /> than four to six bullets should be used. <br /> 3. The background section extensively develops the bullet <br /> statements and is the backbone of an agenda item which must <br /> include all pertinent information. If the item is for a Notice <br /> and Order , the background section must discuss the following <br /> information: location of the site; operator and owner <br /> information; compliance history; specific violations noted during <br /> Board inspections; the dates of Board inspections; and the <br /> operator ' s efforts to correct violations or areas of concern, if <br /> any. <br /> 4. The options section lists the various actions that the <br /> Board may take regarding the item. For example, option 1 may be <br /> to issue a Notice and Order, while option 2 may be to take no <br /> action. The appropriateness of each option should be discussed. <br /> 5. The recommendation section includes staff's <br /> recommendation(s) for Board consideration and action. An action <br /> listed in the "options" section is usually recommended. <br /> 6. The attachments section lists each attachment <br /> numerically with a brief description of its contents. <br /> 7. Provide a Resolution with the appropriate statement(s) <br /> and finding(s) in the attachments section. The Resolution <br /> identities the specific findings and actions to be taken by the <br /> Board in dealing with the agenda item. <br /> 8. Identify the necessary visual aids to fully portray the <br /> agenda item. All visual aids shall be prepared on 35mm slide <br /> media and must be available one week prior to the board meeting. <br /> Appendix K includes a sample agenda item. <br /> 65 <br />
