C&S Wholesale Grocers, Inc. and Subsidiaries
Policy Title: WICS Warehouse OS&D Procedures
Final: Jan. 06, 2010 Date of Last Revision: Oct 24, 2019
Policy Number: WSOP-DR004.5 Date of Last Review: Oct 24, 2019
Prepared by: Mick Pfalzgraf/ Reviewed by: WSOP Review Committee
Dave Fredericks
Updated by: Warren Wilhoit Date of Update: October 24, 2019
Purpose:
To ensure that all product for resale that needs to be removed from the supply chain for quality related
reasons is properly segregated, inspected, accounted for and salvaged or disposed of according to
procedures. Quality reasons are defined as damaged, out of code, off condition, infested and recalled
product. The OS&D (Over, Short and Damaged) Department is responsible for recording the disposition
of store returns, warehouse damaged and distressed product.
1. OS&D Layout
• The OS&D Department will be organized so as not to co-mingle warehouse damage and store
return damage until after each have been processed.
• The OS&D Department will be clearly marked to separate processed from non-processed
damages and damaged product from product to be returned to stock. The following areas must be
labeled: Damage stations, outbound salvage door, dumpster door, store return doors, pallets built
for return to stock, pallets processed and built for salvage or reclaim, damage to be worked,
receiving damage, and store returns to be worked. Note: the same door or area may be marked
with multiple signs if it is used for multiple activities. For instance, a door used to take in store
returns and also used to load salvage trailers would be marked with Outbound Salvage and Store
Returns.
2. Product Segregation:
2.1 Damage Stations
• Damage Stations must be strategically placed throughout the warehouse to facilitate the
removal of damage from active pick slots and on the floor in the aisles. These stations
must be clearly marked for damaged product only.
• Any damaged product encountered must be placed in the nearest Damage Stations. If the
nature of the damage results in a potential safety issue from broken glass or leaking
contents, the product should immediately be taken to OS&D.
• OS&D is to collect all cases from the damage bins/slots periodically throughout the shift
but not less than twice per shift. Any item that cannot be put back in the original slot must
be scanned out or recorded on a damage sheet and placed on the damage salvage pallet. If
the product is not salvageable it is to be staged on a pallet/bin. A review of such product
will take place to determine if it must be processed as a regulated waste or if it can be
disposed of in the dumpster.
• If the item is determined to be a regulated waste, the facility will follow UPP Program
CESH-0035 for proper handling and disposition.
WICS Warehouse OS&D Procedures pg 2 of 16
